The platform follows the way a memorial order actually moves: a family designs, you decide, the specification freezes, the shop cuts. Nothing happens out of order, and nothing important lives in a text message.

§01 — The life of a design

Seven stages, and you control the two that matter.

The family works on their own time. You are only pulled in when there is a decision to make.

  1. The family designs

    They open their own link, choose a model and a stone, place the photograph, set the lettering and pick the carving. They can save, leave, and come back to it.

    Status: draft, still editing.
    You are not pulled into half-finished designs — an unfinished draft never lands on your desk.
  2. They submit it to you

    When it looks right, the family sends it. It appears in your design pipeline as something waiting on you, with the finished photograph and the full specification attached.

    Status: submitted.
    The family can still withdraw it, and you can send it back with a written reason — which they see, so they know what to change.
  3. You review, and adjust the price if you need to

    Read the design against what the family asked for. If this job needs a different number than your catalog price, adjust that one order and send a revised quote.

    Status: waiting on the family's confirmation.
    They confirm the revised price online. If you change it again, the confirmation is voided and the quote goes back to them.
  4. You lock the plan

    This is the approval. Everything is checked, priced and frozen: sizes in inches piece by piece, the stone, the photo shape, the lettering style and height, the carving.

    Status: plan locked.
    A printable product confirmation goes with it — specifications and retail price, ready for a signature at the counter.
  5. You send it to the shop

    One action turns the locked plan into a production order. What reaches us is the frozen specification, not a summary of it.

    Status: awaiting our confirmation.
    You can still withdraw an order before we confirm it.
  6. We confirm and cut it

    We check the production file against the order, confirm it, and move it through production. You follow the status; the family sees a plain-language version of the same progress.

    Status: confirmed, then in production.
    If something in the file needs to change, we return the order rather than guess.
  7. Completed

    The order closes. The finished photograph, the specification and the record of what happened stay on the file — and the family keeps their design in their own account.

    Changes after this point are made by copying the order into a new design, never by editing history.
§02 — The three stations

Stock your showroom

Choose which models and which stones your store sells, and in what order families see them. Anything you don't switch on simply doesn't exist for your customers.

Then set your own retail price: per model and stone, per photo shape, per engraving craft. Factory pricing stays on your side of the wall.

Station 02

Hand the family a link

One link per customer. They put in their name and contact details the first time and never fill in a form again — no password, no app, nothing to install.

Open it on the tablet in your showroom and you are designing together. Send it by text and they do it at the kitchen table.

Approve it once

Review, price, lock. The moment you lock the plan the design stops being a conversation and becomes a document you can hand to a shop floor.

From there the order moves through our confirmation, production and completion, and you can see where it stands without making a phone call.

§03 — Two books

What you pay us and what you charge are two different books.

Your side

Factory pricing, your retail pricing, your margin on every job, and the notes you keep about a customer. Administrative accounts are the only ones that can open this book, and only your own store's numbers are in it.

When a job needs a different number — an awkward carving, a rush, a favour for a long-standing family — adjust that single order. Nothing else in your catalog moves, and the change is recorded with a reason.

Their side

The family sees the memorial, the stone, their photograph, their lettering, and one price: the number you set. They see the progress of their own order in plain language.

They never see what you pay us, your margin, your notes, or the fact that there is a factory behind the portal at all — the portal is your business, wearing your name.

Sales staff get the catalog, the designs, the customers and the order pipeline — everything they need to sell — without ever seeing cost or margin. They can quote a family confidently without knowing what the shop paid.

§04 — When things change

Orders change. The system is built for that.

The family changes their mind

Before the plan is locked, they can withdraw a submitted design and keep editing it. After it is locked, a change becomes a new design copied from the old one — the original record stays intact.

You need to send it back

Return a submitted design with a written reason. The family sees the reason in their own account, so the next version is closer to right instead of being another round of guessing.

An order has to be cancelled

Cancellations run as a request, not a delete. We answer it, and if the job is going ahead again it is rebuilt from a copy so the history of what happened stays readable.
