§01 — Getting started

Before you commit to anything.

01Do we need our own website or any software?
No. You get a portal for your business, and your customers open a link. There is nothing to install on your side or theirs — no app store, no download, no password for a family to forget. If you already have a website, the link goes wherever you want it to.
02How long until we are live?
We build your store and send you a single activation link, typically within [ onboarding window ]. After that it is a catalog and pricing session on your side, not an implementation project: choose the models you sell, set your prices, add your staff, and send your first family link. Most of the elapsed time is you deciding what you want to sell, which is time well spent.
03What does it cost us?
That is a conversation rather than a page, because the honest answer depends on what you sell and how much of it. Ask us and we will go through it with you against your real volume, including what happens in a slow year.
04We already have a system. Can this work alongside it?
Yes. Nothing about this requires you to abandon your accounting, your inventory or your own records. Most retailers start by running new design work through the portal while keeping everything else where it is, and expand from there if it earns its place.
§02 — Catalog, pricing and money

Your catalog, your numbers.

05Can we sell only part of the catalog?
Yes, and we expect you to. Turn models and stones on or off per store and arrange the order your customers meet them in. A model you do not switch on does not exist for your families — they cannot ask you to quote something you never offered.
06Will our customers ever see your factory price?
Never. Factory pricing and retail pricing are two separate books. Only your administrative account can see the factory side, and a customer sees your retail number with nothing behind it — not our cost, not your margin, not your notes.
07Can we discount one job without changing our catalog?
Yes. Adjust the price on that single order, note why if you want to, and send the family a revised quote to confirm online. Your catalog prices stay exactly where they were. If you change the quote again, the earlier confirmation is voided and re-sent, so the design and the price can never drift apart.
08Can we use our own shapes, carvings and fonts?
Yes. Upload your own photo shapes and carvings to your store and they sit alongside the factory library with your business behind them. When one family needs something nobody else has, share a private shape with that family alone — it does not become part of your public catalog.
09Can our staff sell without seeing what we pay?
Yes, and this is one of the reasons to use it. Sales accounts see the catalog, designs, customers and orders, but no factory cost, no margin, and no price editing. Only administrators can change a price, and only for your own store.
§03 — Designs and orders

From a family's idea to a finished memorial.

10What happens to a design once we approve it?
It freezes. Sizes in inches piece by piece, the stone, the photograph, the lettering style and height, the carving — all captured as one specification that cannot quietly change afterwards. Later changes are made by copying the order into a new design, never by editing the record of what was built.
11Can a family change their mind after submitting?
Before you lock the plan, yes — they can withdraw a submitted design and carry on editing it. After it is locked, a change becomes a new design copied from the locked one, so the original specification and its approval stay intact.
12What if we need to send a design back?
Return it with a written reason. The family sees that reason in their own account, which turns an unclear rejection into a specific change. It saves a phone call and usually saves a second round.
13Can we edit a customer's design for them?
Administrators can open a customer's unfinished design and adjust the photograph, lettering or carving, then save it back to the same design. The family sees a note that their provider updated it. It is the same editor your customer uses, so nothing gets translated or retyped.
14What does the family see about their order?
Their design, their specification and a plain-language progress trail from order placed to completed. They see friendly status, not our internal production codes, and they never see anything about cost.
§04 — Your customers and your data

Whose book of business is it.

15Does a family need an account or a password?
No password. You generate a link for that customer; the first time they open it they give their name and contact details, and after that the link takes them straight in. It means you can onboard a family in the time it takes to write a text message.
16Who can see our customer details?
You and your staff, and nobody else. Other retailers cannot see your customers or your catalog, and from our side an order belongs to your store — we do not receive your customers as our customers and we do not contact them.
17Does it work on a phone?
Families can open their link on anything, including a phone. Your own workspace is built for desktop and tablet, because that is where memorial work gets done — pricing a catalog and reviewing specifications wants a bigger screen.
18What if a family asks for something we do not sell?
That is a custom request. It becomes one thread with the photographs and drawings attached, you pass it to us, we answer with what it takes, and the shape we build is registered to your store. You decide whether one family sees it first or whether it goes on sale to everyone.
